Venue Partner Agreement

Version 2026-10-02 · Planned effective date November 12, 2026

1. Who this is for

This agreement is between Kaizen Brands LLC, which operates Club Hub, and the business that claims a venue listing, takes bookings or receives payouts through Club Hub (“you”). You accept it before you claim a listing. The person accepting confirms they are authorised to act for the venue. Our Terms of Service and Privacy Notice also apply.

2. Your listing

  • Your venue may already be listed from lawful public sources. We record where each detail came from and when we last checked it.
  • You claim a listing with a code sent to a contact already listed for the venue, or by sending us your business permit for review.
  • You can ask us to correct or remove your listing at any time, and we act within 48 hours. A removed listing stays hidden, and we stop contacting its numbers and addresses.
  • Keep your prices, hours and courts accurate. You own the content you add.

3. Bookings and the messages we send you

  • Request to book: a player pays first and we ask you to confirm by SMS, email, WhatsApp or Messenger. You confirm or decline through the signed link, the code in the message, or the back office. If you decline or do not answer in time, the player is refunded in full automatically.
  • Instant booking: partner venues publish their schedule and bookings confirm when payment succeeds.
  • Our SMS sender name cannot receive replies, so answer through the link, WhatsApp, Messenger or email. New request alerts may arrive at any hour; follow-ups are not sent between 22:00 and 07:00 Philippine time.
  • Tell us to stop through any of those channels and we stop messaging that number or address. We keep only a one-way hash of it so it is not contacted again.

4. Prices, fees and cancellations

  • You set your court prices. The back office is free.
  • Players pay a Club Hub service fee of 5% of the court price after discounts. Partner venues choose to pass it on to the player or absorb it; an absorbed fee is taken from your payout. Request-to-book bookings always pass it on.
  • You choose one cancellation policy, shown to players before they pay:
Refund of the court price when you cancel
PolicyCourt price back when you cancel
Standard100% if you cancel at least 24 hours before the start; 50% if you cancel at least 6 hours before the start; nothing back after that.
Flexible100% if you cancel at least 2 hours before the start; nothing back after that.
No refundsNothing back once booked.
  • When a player cancels under your policy, the refunded part of the court price comes from your share.
  • When you cancel or do not honour a booking, the player gets a full refund, including the service fee, and you are not paid for it. A player can report a booking you did not honour within 24 hours after the slot; we hold your payout while we review. A venue with two upheld claims loses request to book.
  • If a player does not show up, you are paid in full.

5. Payouts and payee checks

  • Club Hub receives players' payments through Xendit and pays you through Xendit to the GCash, Maya or bank account you register as your payee.
  • A booking becomes payable at least 24 hours after its slot ends, once the player's payment has settled. Your payout is the court price, less discounts you fund, any fee you absorb and your share of refunds.
  • We verify payee details as our payment provider requires, including that the account holder name matches. Payouts pause while payee details are missing, unverified or rejected by the bank or wallet. Changing the payee needs a one-time code sent to your verified contact.
  • Some channels only accept whole pesos or cap each transfer, so a payout may be rounded or split.
  • You are responsible for your own taxes. We will withhold or report tax on payouts where Philippine law requires it.

6. Player data

Use player details only to host and support the booking, keep them secure, and do not use them for marketing without the player's consent. Each staff member uses their own login, and you remove staff who leave. Both of us comply with the Data Privacy Act.

7. Ending the agreement

Either side can end this agreement by notice. Bookings already paid are honoured or refunded, and amounts owed to you are paid out as above. We may suspend a venue that breaks this agreement or puts players at risk.

8. Liability, changes and contact

You are responsible for your venue, courts and the safety of players there. To the extent the law allows, our liability is limited to the fees we earned from your bookings in the previous three months. We will post changes here with a new version and ask you to accept material changes. This agreement is governed by Philippine law. Contact: hello@clubhub.ph.
